Did you know that Whisperit lets you share your documents with your colleagues from your workspace to collaborate in real time?

Whether you're working on a report, meeting notes, or any other document, collaboration on Whisperit is fast, seamless, and secure.

Learn how to invite your teammates to join your projects directly from your workspace.

How to share your documents

1. Open the document you want to share

Select the document you wish to share and open it.

2. Click the “Share” button

At the top right of the page, click « Share » to access the sharing options.
You will be able to see all your workspace members and the different sharing options

3. Search your workspace members

Here you can enter the email addresses of the people you want to collaborate with - or select them from the list below. You should be able to see your workspace members.

If by any reason they are not there, please contact us so we can activate your workspace.

Tip: Use the search bar to quickly find workspace members by name or email address.

4. Set access permissions level

The different permission levels are the following:

  • Full access - Allows your colleagues to access all features and share the document with others

  • Can edit - Allows your colleagues to make changes to the document

  • Can view - Allows your colleagues to view the document without editing it

You can set different permission levels for different team members based on their role and responsibilities.

5. Send the invitation

Click "Tag all workspace members" to share with your entire team at once, or click on individual names to share with specific colleagues.

Your colleagues will receive an email with a secure access link.

6. View and edit access

Once your colleagues have joined the document, you'll see their profiles at the top right of the toolbar.

You can:

  • Edit their permission level at any time

  • Revoke their access with a single click

  • View who currently has access to the document.

The small user icon button in the top toolbar provides a quick preview of:

  • Current assignment status

  • List of users with access and their permission levels

  • Easy access to modify sharing settings on the fly

Document Assignment

Beyond sharing, you can assign documents to specific team members for task management:

  • Assign to a single workspace member

  • Track assignment status

  • View who is responsible for the document

  • Useful for workflow and responsibility tracking

Best practices for collaboration

  1. Start with appropriate permissions

    • Use "Can view" for stakeholders who only need to review

    • Use "Can edit" for active contributors

    • Use "Full access" only when sharing control is necessary

  2. Keep your team updated

    • Notify team members when adding them to documents

    • Use document titles that clearly indicate content purpose

    • Assign clear ownership when needed

  3. Review access regularly

    • Periodically check who has access to sensitive documents

    • Remove access when team members change roles

    • Keep your document library organized and secure

  4. Leverage the permission levels

    • Protect document integrity with appropriate restrictions

    • Empower your team with the permissions they need

A: Yes, they will receive an email notification with a secure access link.

Q: Can I share a document with people outside my workspace?
A: Currently, sharing is limited to workspace members. For external collaboration, please contact support.

Q: Is there a way to share with multiple people at once?
A: Yes, use the "Tag all workspace members" button to instantly share with your entire team.

All document sharing in Whisperit is:

  • Secure and encrypted

  • Tracked with clear visibility into who has access

  • Reversible - you can revoke access at any time

  • Limited to your workspace members by default
