Sharing Cases with Colleagues
Understanding "My cases" vs "Shared with me" tabs
Last updated 4 months ago
Whisperit makes it easy to collaborate on legal matters by sharing cases with colleagues in your workspace. This guide explains how case sharing works and how to use the My cases and Shared with me tabs.
Understanding the two tabs
My cases
The My cases tab shows: • Cases you've created • Cases you own • All cases where you are the primary owner
This is your main workspace for cases you manage.
Shared with me
The Shared with me tab displays: • Cases that colleagues have shared with you • Cases where you're a collaborator (not the owner) • Cases you have access to but didn't create
This helps you quickly find cases where you're collaborating with teammates.
How to share a case
Open the case you want to share
Click the Share button in the top right corner
The "Share case with workspace members" dialog will open
Search for colleagues by name
Select the workspace members you want to share with
The case will immediately be accessible to selected members
Searching for workspace members
In the sharing dialog: • Use the search field to find specific colleagues • Type names to filter the member list • Select multiple members at once • Use "Select all" to share with everyone in your workspace
What shared users can access
When you share a case, collaborators can: • View all case files and documents • See case description and details • Access the parties information • Use the AI assistant within the case context • Add files and information to the case • Collaborate in real-time
Finding shared cases
When a colleague shares a case with you:
It appears in your Shared with me tab
You'll see it alongside your own cases
Open it just like your own cases
Start collaborating immediately
Best practices for sharing cases
Share intentionally
• Only share cases with colleagues who need access • Consider who should be involved in each matter • Review shared access periodically
Use clear case names
• When sharing, ensure case names are clear and descriptive • Colleagues should immediately understand what the case is about • Include client names or matter numbers
Communicate about sharing
• Let colleagues know when you share a case • Explain what you need them to do • Set expectations for collaboration
Keep cases organized
• Regularly review your Shared with me tab • Stay on top of cases where you're collaborating • Communicate if you no longer need access
Workspace membership
Case sharing works within your workspace: • You can only share with members of your workspace • External users cannot access cases • All sharing is contained within your organization • Workspace admins manage team membership
Benefits of case sharing
Seamless collaboration
Multiple team members can work on the same matter simultaneously without duplicating files or information.
Centralized information
Everyone accesses the same case files, description, and AI interactions - no version confusion.
Efficient teamwork
Share expertise across cases, get input from specialists, and distribute workload effectively.
Consistent context
The AI assistant has the same context for all collaborators, ensuring consistent and relevant responses.
